    Document Approval Workflows

Approval workflow software that gets every policy signed off before it goes live

OneClickComply includes a document approval workflow for IT, security and compliance leads who need proof that each policy was reviewed and approved by a named person. A document moves from Draft to In Review, Approved and Published, and the platform records who submitted it, who was asked to review it, who approved it and when.

    THE PROBLEM

Why informal policy sign-off fails an audit

Auditors do not only ask whether a policy exists. They ask who approved it, when, and whether the author simply signed off their own work. When approvals happen over email or chat, that evidence is scattered or missing, and a policy can reach staff without anyone having formally accepted it. A policy approval workflow with a fixed set of stages and a recorded approver closes that gap.

    FEATURES

How the document approval flow works

Four stages from draft to live

Each document moves through Draft, In Review, Approved and Published, so everyone can see where it stands. Documents can also be archived.

    Submit for review

The author submits a draft for review and requests a reviewer. The requested reviewer is notified by email, and the platform records who submitted it.

    Recorded approver and timestamp

When a document is approved, the approver and the time of approval are stored against it. For documents created by people, approval is the only route into the Approved stage, so it carries that record.

    Self-approval flagged

If the person who authored a document also approved it, the document is flagged. Legacy approvals that have no recorded approver are flagged too.

    Approval permission

Only users whose role includes the documents.approve permission can approve, which you control through Roles & permissions.

    Locked once approved

An approved or published document cannot be edited. To change it, you create a new version, so the signed-off text stays exactly as it was approved.

    FAQ

    Document Approval Workflows: common questions

Approval workflow software routes a document or request to the right person for sign-off and keeps a record of the decision. In OneClickComply this applies to documents and policies, which move from Draft to In Review, Approved and Published.

An auditor generally wants to see who approved a policy and when, and that the approver was not just its author. OneClickComply records the submitter, the requested reviewer, the approver and the approval time, and flags self-approval.

Not today. The flow is fixed: Draft, In Review, Approved and Published, with a single approver recorded. It is a document and policy approval flow, not a configurable workflow engine, so you cannot add extra steps or route by document type.

No. Tasks have an In Review status, but there is no approver or approval gate on a task. The approval flow applies to documents and policies only.

Users whose role includes the documents.approve permission. You can grant it to chosen roles in Roles & permissions, and custom roles availability depends on plan.

No. Approved and published documents are locked, and you create a new version to make changes. That new version goes through review and approval again, so the approval record always matches the text.
